Invoice & OCR Issues

Most invoices process in under a minute.If an invoice is stuck for more than 5 minutes, go to the Invoice Detail page, click the 'Actions' dropdown, and select 'Cancel OCR Process'.You can then click 'Re-run OCR' to try again.

This typically means the document was a very low-quality scan, password-protected, or in a format the OCR engine could not read.Please try again with a clearer, unlocked version of the file.

This is common.In the 'Registered Packaging' table, simply click on the description and type the correct packaging name (e.g., 'Cardboard Box').The system learns from these corrections over time.

In the 'Registered Packaging' table on the Invoice Detail page, click the 'Add Another Item' button.This will create a new, empty row.Fill in the details for the missed item and click 'Save Changes'.

Use this if the initial OCR seems to have missed many items.It re-scans the invoice's text for packaging-related keywords.Results appear in the 'Suggestions' panel, where you can click a '+' icon to add them to your list.

Data Entry & Verification

For accurate reporting, you must create a separate line item for each material.For example, one line for 'Cardboard Box' with its weight, and a second line for 'LDPE Plastic Liner' with its weight.

Yes, for now, you must enter the weight in kilograms (kg).For example, enter '50g' as '0.050'.

On the Invoice Detail page, find the 'Finalize Review' card.It will show when the review was completed.Simply click the 'Reopen for Editing' button to unlock the item list and make your changes.

The system does not yet have a 'duplicate row' feature.For now, you must add each item individually using the 'Add Another Item' button.

Delete one of the incorrect lines using the checkbox and the delete action.Then, edit the remaining line to have the correct, combined total weight.For example, if you see two lines for 'Cardboard' at 0.1 kg each, delete one and change the other's weight to 0.2 kg.

No. After making any changes in the 'Registered Packaging' table (editing, adding, or deleting rows), you must click the main 'Save Changes' button at the bottom of the table to commit your work.

Organization & Reporting

A good strategy is to create categories for your main suppliers (e.g., 'Main Packaging Supplier').On the main invoice list, you can then filter your view to see all invoices from a specific supplier, which is useful for cross-checking data.

Yes, you can manage categories in your Settings.Deleting a category does not delete the invoices; it simply removes the category tag from them.

The standard XLSX/CSV reports have a fixed format.For custom formats, Professional and Enterprise users can upload their own Excel template in Settings -> Compliance and map the Sustinu data fields to their required columns.

This happens when you haven't yet entered the fee-per-kilogram rates for your materials.Go to Settings -> Compliance and fill in the fees charged by your PRO.The forecast will update automatically for all invoices.

Workflow & Data Management

Use the filters on the main 'Invoices' page.First, filter by 'Status' to show only invoices that are 'OCR Completed.' Work through these first.This batching approach is faster than handling them one by one as they finish processing.

Use the 'Description' field.When you verify an item, edit the description to include both the material and the code (e.g., 'Cardboard Box P50-B').This makes your data searchable and easy to cross-reference with supplier documents.

Yes.The 'Dashboard' provides a high-level overview of your total weights and recycled content percentages over time.For a detailed, item-by-item view without downloading, the 'Combined Review' page (for Pro-tier users) is the best tool.

No. The 'Total Forecasted Fee' is calculated dynamically.As soon as you save the new fees in your settings, the summary on every invoice detail page and in the 'Combined Review' tool will automatically update to reflect the new rates.
